Unit 1 How does one become a secretary?

Section 1 Being interviewed

一、背景知识

面试主要是主考人员通过与应试者直接交谈的方式来考查其是否具备所报考职位应有的才能和某些素质,考查应试者的口头表达能力与交往能力,观察其举止、仪表与气质等。所谈的多是关于应试者的经历、兴趣、求职动机以及有关的政治、经济、文化、社会等问题。面试的形式主要有两种,一种是个别面试,另一种是分组面试。在面试中,一般需要掌握3个原则:实事求是,随机应变,自圆其说。另外,在面试中,要自始至终保持自信,但不要过度。

也可be happy to do sth: I am happy to be of service. 很愿意提供帮助。

[辨析] glad, happy, cheerful这三个形容词的一般含义是“高兴的”。glad是礼貌待人

中用来表示“高兴的”惯用词。在这个意义上,glad与happy很难说有多大差别。如:

I was glad to receive your letter and I am equally happy to be writing back to you again.

I'm glad to have seen you. 结识了你很高兴。(告别时时用语)

但是happy的内涵是“满足”We'll be very happy to accept your kind invitation. 能接到

你友好的邀请信我们将非常高兴。They are now leading a very happy life. 他们现在

过着幸福的生活。Happy New Year!新年快乐!;cheerful表示比较强烈的快乐感情,而且这种感情的流露是自然的,或情不自禁的This festival is a cheerful occasion. 这

Section 2 Preparing an interview

一、背景知识

面试是公司或企业了解应聘者对工作的态度以及身在社会中一些必备常识的最好方法。面试时的每个细小行为都能说明一个人的素质和修养,所谓“于细微之处见真情”。因而,面试前,要做好充分的准备工作,做到知己知彼,胸有成竹。首先,要收集相关公司的规模、创立年代、总公司所在地、公司有哪些产品、产品的市场定位和占有率、主要客户等,要做到对其了如指掌。在做出针对性的研究后,准备好一份可能从事的、有创建性的工作方案,就该产业之趋势走向提供较深入的见解和分析,其中最主要的是要表明能为公司做什么,将为公司带来怎样的效益。第二,准备一套正式服装,在穿戴上要体现出求职者对所申请职位的理解程度。第三,要熟知所选职业的行为规范,并作适当练习。

To be (be) successful in a job interview, you should demonstrate certain personal and professional qualities. You need to create a good image in the limited (limit) time available, usually from 30 to 45 minutes. Furthermore, you must make a positive impression which the interviewer will remember (remember) while he interviews (interview) other applicants. At all times, you should present your most outstanding qualities during an interview to attract (attract) the interviewer. The first thing to remember when you go for a job interview is that this is not a one-sided affair. You can treat it the same way that you treat a negotiation. After all, both you and the prospective employer are selling something. If you approach an interview with the attitude “any job will do”, the interviewer will recognize that immediately. If the job is worth anything, you won’t get it.

You should prepare yourself for an interview just as you would do for a negotiation. Find out

as much as you can about the company and the person who is to interview you. Don’t be caught by surprise. Go to the internet and loo k at the company’s website. Compare it with that of its competitors. Alternatively, look in the Yellow Pages or trade magazines to see how they advertise themselves. Make enquiries at the Chamber of Commerce and other relevant organizations. Find out at least a little about the sector so that you can ask interesting questions.

Think of and jot down your strengths and the opportunities that lie ahead. No matter how high the unemployment rate is and regardless of how miserable you are in your current job, it’s always an advantage to see things in a positive light. If you have little or no experience in a particular area, consider your capabilities in a similar area. Spend some time trying to imagine what type of employee the company is looking for and what makes you suitable for the job being advertised.

First impressions count, so look good and feel good before you go. Choose clothes that make you feel confident. Find out what clothes may put the interviewer off. Ensure you arrive at the interview with time to spare. According to more than one recruitment agency we spoke to, interviewees must understand the importance not only of their personal appearance, but also of their body language. During the interview breathe calmly and try not to appear too nervous. Look the interviewer in the eye and adopt similar body language to theirs. Smile and look relaxed, enthusiastic and assertive. Remember one thing, though, assertive does not mean aggressive.

Don’t just answer “yes” or “no” to questions. Treat every questi on as an opportunity to demonstrate that you are suitable for the job, and remember to stick to the point. When asked about your interests, include group as well as individual activities. Be on the lookout for tricky questions about your personal life. You don’t need to lie; just sell yourself in the best light. This is something the interviewer needs to be able to do as well. You have the right to find out whether or not you want to work for the company. Furthermore, your interest in the nature of the company and how it runs may well end up being your big selling point.

Section 3 Writing a letter of application

一、背景知识

求职成功从写好求职信开始。求职信是形象的外延,是与应聘单位的首次“见面”。求职者能否赢得面试的机会取决于求职信能否给用人单位留下深刻的好印象。

求职信一般由以下主要部分组成:

1.说明怎么知道该公司或企业在招聘人员。

2.自信地表明意愿和作为最佳候选人的优势。

3.概括、具体说明候选人条件,特别要提出有过与应聘职位相关的经历。

4.简单提及可能为公司或企业带来的效益、有创建性的工作方案。

5.要求给予面试机会,留下具体、周到的联系方式。

求职信属于正式信函,一定要严格按照正式信函的格式写,信中内容必须有七个标准部分:信头、日期、信内地址、称呼、正文、礼词和带有打印姓名的签名;或九个标准部分:信头、日期、信内地址、称呼、标题/事由、正文、礼词、带有打印姓名的签名和附件(求职信一般附有简历和重要的证书复印件),符合“清楚、简洁、礼貌、正确、具体、周到、完整”的写信原则。

写求职信一定要选用优质信纸和信封,也可以选用有一定色彩的,突出个性,更有效地完成“沟通、信任”的使命。

As The Oxford English Dictionary states, a secretary is one who is entrusted with private or secret matters and one who is employed to conduct correspondence, to keep records, and usually to transact various other business, for another person or for a society, corporation, or public body. American Professional Secretaries International (APSI)defines a secretary as an executive assistant who possesses a mastery of office skills, demonstrates the ability to assume responsibility without direct supervision, exercises initiative and judgment, and makes decisions within the scope of assigned authority.

Accordingly, a secretary usually does almost everything in the office, such as: typing, keyboarding; transcribing; processing mail; telephoning; scheduling appointments; greeting visitors; composing and editing documents; researching and coordinating meetings, conferences, and teleconferences; making travel arrangements; handling reprography; and organizing time and work.. These form the daily office routine for a secretary. In modern society the secretary is an important member of the management team, responsible not only for carrying out the executive’s wishes but also for helping to maintain a well-organized and efficient office. In other words, a secretary entering the work force faces many possible job situations. Therefore only those who have received specialized professional training will survive in a world where the methods of handling information are complex.
